Proof of Delivery – K8 delivers more functionality

K8, the leading software solution from Kerridge Commercial Systems, is further strengthening its position in the distribution wholesale market with the introduction of scanning of Proof of Delivery (POD) forms functionality.

(November 2004) Kerridge Commercial Systems has recently introduced enhanced functionality in the fully integrated software solution, K8, with signature capture for signed advice notes, delivery notes and other documents.

Document imaging can be of the great benefit to companies in the distribution, merchants and wholesale industry. Ian Bendelow, Business Development Director, Kerridge Commercial Systems, says, "one of the fundamental needs of these companies is to capture and store signed delivery receipts. These signed delivery receipts become the 'proof of delivery' documents. Scanning allows the original delivery notes to be captured electronically. The signed copies of the delivery notes are then scanned in and matched up with the electronic copies."

In K8, the scanned PODs are saved and can easily be retrieved and viewed within the Sales Ledger or Sales Order Processing system by simply clicking on relevant transactions. The POD can then be emailed, faxed or printed out instantly, should a customer require a copy.

Each day the delivery driver return to the office, the POD notes captured by the scanning system are downloaded/sent to K8, instantly verifying that all receipts for that route have been turned in. If there are any missing receipts, K8 will produce a report that lists those, and any problems can be addressed immediately.

Quite frequently companies demand that a signed POD is produced before they are prepared to pay the vendor. In some cases, they might even refuse to pay if the document cannot be retrieved. K8 will remove this problem completely, and provides easy to use functions that will streamline this process. Some of the benefits are:
